No problem. You can easily update your banking information using our self-serve tool in PaymentsHQ. Changes are typically processed within 24 hours. Prefer to update by email? Just send our team a valid void cheque or direct deposit form, and we’ll take care of the rest.

These are secure links you can send by email to collect payments or issue refunds outside of your registration system.

  • Refunds can go to a different card (in case the original is lost or expired)

Yes – as long as your registration platform supports it. Contact them directly to manage payment plans.

Yes. PayMe is a great tool for collecting one-time or recurring donations.

Yes, you can set an expiry date when creating your PayMe to control when it closes.

Yes. If your registration platform doesn’t support this, you can send a Refund Request from within PaymentsHQ.

Yes, but only the authorization fee. No percentage fee is applied on refunded amounts.

Refund timing depends on the cardholder’s bank, but it typically takes 5-10 business days, sometimes longer. We process the refund and submit it to the bank immediately – any delay after that is on the cardholder’s bank.

Deposits are processed weekly on Tuesdays for the previous week. Most organizations receive their funds by Wednesday.

SportsPay typically uses a monthly billing model, where fees are collected at the beginning of each month for the previous month’s activity. You’ll receive a detailed statement in advance of any withdrawal.

No. The NSF fee only applies if your organization’s bank account doesn’t have enough funds to cover monthly statement fees. It’s not related to cardholder declines.

Use PaymentsHQ – our reporting and account management portal. It lets you:

  • Search transactions and view details
  • Issue refunds and send requests
  • View deposits, statements, and monthly summaries

Yes. PaymentsHQ supports multiple users, each with their own login credentials.

Yes. We maintain a running history of all your data – nothing is archived or removed. Past seasons remain accessible at all times.

A chargeback occurs when a cardholder disputes a charge through their bank. The bank reverses the transaction while the case is reviewed. SportsPay will notify you and support you throughout the process.

Our support team manages chargebacks on behalf of the merchant and submits disputes if requested. We also handle any necessary fund adjustments.

Declines can happen for many reasons – such as an expired card or incorrect CVV. To view the decline reason, use the search tool in PaymentsHQ and check the “Message” column.

Yes. Our team offers full support in both English and French, and all merchant-facing tools and communications are bilingual.

Yes. All of SportsPay’s Hosted Payment Pages are bilingual and can be easily toggled between English and French.

Yes – SportsPay is already integrated with several leading registration platforms. If you’re not yet connected, contact us or your platform provider to explore integration options.

Our APIs and hosted tools are designed to work with any platform. However, the integration itself is typically initiated by the registration platform. We’re always happy to work with new partners.

With SportsPay’s Rapid Onboarding, merchants can be up and running in as little as 3 business days.

Merchant applications can be sent:

  • Manually via PaymentsHQ
  • Automatically via redirect from your platform using our Application Form Redirect

We only require a void cheque or direct deposit form with the organization’s legal name. No guarantors, financials, or SIN numbers needed.

SportsPay handles PCI compliance for all payment data processed through our secure APIs and hosted pages. If you collect card data yourself, you may be responsible for PCI directly.

We provide live support in English and French and give partners the flexibility to define the level of involvement our team should have.

Yes! Our marketing team is available for joint campaigns, sponsorship support, and promotional content.

SportsPay offers three flexible pricing models that registration platforms can choose to offer their users:

  • Flat Rate: A single rate for all domestic card types (ideal for simplicity)
  • Lowest Cost: Interchange-plus pricing with transparency on premium cards
  • Customer Pay: Organizations pass the transaction fee to the cardholder – only the registration amount is deposited for easy reconciliation

Yes. SportsPay supports Split Payments and Inter-Merchant Transfers, allowing a single transaction to be split between multiple recipients (e.g., club, provincial body, national body).

Yes. With Split Payments, funds are distributed instantly at the time of transaction — no manual reconciliation needed.

Yes. With PaymentsHQ, you can track incoming funds by source — ideal for transparency and financial oversight across a larger governing structure.

Yes! Through the SportsPay Foundation, directly and with our partners. We actively support grassroots organizations through sponsorships, funding, equipment provision marketing support and community initiatives. We also provide tools like PayMe to make collecting donations easy.
